Insurance and Third Party Coverage
We are a private pay office and do not accept private health insurance, Medicare, Medicaid, Workers Compensation cases, or motor vehicle accident insurance cases. Payment in full is expected at the time of service.

We do not submit claims to insurance companies or third party payers, but we are happy to provide you with a superbill that you may submit to your insurance company if your policy provides coverage for our services.

One of the many benefits of working with us and outside of the confines of the health insurance industry is complete transparency of the costs associated with your care. Initial consultation fees include the fees we pay for setting up your secure patient portal and the administrative time to get you onboarded with our practice. It is very reasonable to ask exactly what costs will be incurred during the course of your treatment before making an appointment with us, and we welcome your call or email inquiry.

Free Phone Consultation or “Meet and Greet” Consultation
In-person or virtual visit of ≤ 15 minutes in duration. This is a brief visit prior to scheduling an initial consultation where you can ask some questions, learn about our services, and find out if our practice is right for you.

Functional medicine services provided during an acupuncture and integrative medicine follow up visit may include review of laboratory testing, review of diagnostic imaging, self care consultation and guidance regarding lifestyle, diet, exercise, ancillary therapies, use of herbs or supplements, and all other self care and health maintenance strategies.

Annual Visit (visit occurring once yearly, within one year of last visit):  $275.00

Re-Evaluation Visit (visit occurring greater than one year from last visit):  $275.00

Assistance with Appointment Check-In:  $15.00
Checking in serves as your appointment confirmation, provides a pre-visit health screening, and creates the treatment plan framework for your visit. The Check-In form can be found on the Patient Forms page and in your secure portal under “Forms”. You may also call your Check-In in to us at 603-718-8328 and leave a voicemail if necessary.

Billing Units

One Unit = 8-15 minutes

Indirect Care Policy

Indirect Care:  Indirect care is billed at $25.00 per unit. Indirect care is clinical care, assistance, or support provided between visits for or on behalf of a patient. There is no charge for indirect care of less than 8 minutes in duration.

Indirect care may include and is not limited to visit preparation, communication, correspondence, email messages, telephone calls, generating documents or reports, documenting in the electronic record, review and analysis of documentation submitted by the patient/family/caregiver, review and analysis of medical tests/procedures/services, assistance, treatment planning or coordination, attending to legal matters, administrative tasks, consultation with or referral to other health care providers/practitioners/services/agencies, coordination of care, assistance with laboratory services, assistance with completion of forms, and travel. Indirect care may be conducted via telephone, patient portal, SMS/text messaging, email messaging, online platforms, videoconference, and by all other electronic means.

Cost of Services

We value the time we spend with you and don’t want an insurance company inserting itself into our relationship, dictating how much time we can spend with you, or telling us what we can or cannot do for you. The insurance driven delivery of healthcare has unfortunately left many patients dissatisfied with the rushed and superficial approaches they often encounter, while also leaving many healthcare providers unhappy because they cannot practice medicine in the way they intended — in the best interest of the patient.

For this reason, we charge our fees directly to you. Cutting out the “middle man” in this way allows us to charge less, while also spending more time with our patients. This is fair and beneficial to all concerned: a win-win!

When reviewing the cost of services, keep in mind that cost is relative to time spent on individual case review, evaluation, diagnosis, and treatment planning; a provider’s level of education and years in practice, licensure and board certifications, specialty designations, additional certifications, and areas of expertise.

The cost for tests are set by the lab from which they are ordered, and we can provide the exact cost information during your visit and prior to ordering tests for you. Generally, costs range between $200 and $700 per test. Some of the most commonly ordered tests include genetic testing, food or environmental sensitivity and allergy panels, mold and toxin panels, autoimmune panels, Lyme and tick borne disease panels, oxidative stress panels, metabolic function panels, and hormone panels.

We partner with Rupa Health for lab testing. Their policies regarding use of private insurance for lab testing can be found here. Rupa Health will provide assistance with superbills upon request if you would like to seek reimbursement directly from your insurance plan. Laboratory fees may be paid with HSA cards, FSA cards, or a three month interest free payment plan.

Payment

Your balance must be paid in full at the time of service. We do not accept personal checks. We may require an active and valid credit card or debit card to be on file. Payment must be completed in advance of your visit by credit card, exact cash payment, cashier’s check or money order written for the exact amount to “AIMA”, a contactless credit card or proximity pay device (Apple Pay, Samsung Pay, Google Pay, or Fitbit Pay), a chip enabled credit card or debit card, or a magnetic swipe enabled credit card or debit card.

Secure electronic payment may be rendered by using the link provided in your appointment confirmation email.

Failure to remit payment will result in cancellation of your visit. Failure to pay your account balance will result in suspension of your treatment until any balance due is paid. You will be charged $50.00 and all bank fees for any form of payment not honored by the bank. Current and past invoices for existing patients are accessible in the “invoices” section of the secure portal.

We are not, by choice, “in-network” with any insurance plan. We will provide you with a superbill upon request if your insurance plan offers “out-of-network” coverage and you would like to seek reimbursement directly from your insurance plan. A superbill is an itemized list of services rendered, including diagnosis codes and medical billing codes. Please contact your health insurance company or refer to your policy for inquiries about benefits and coverage.

Cancellation and Late Arrival Policy

We require one business days’ cancellation notice prior to scheduled appointments. “Business day” means Monday through Friday from 9 a.m. to 5 p.m. local time in New Hampshire and does not include weekends or United States public holidays. We are able to receive messages 24 hours/day and seven days/week. You may use email, make a telephone call, leave a telephone voicemail, or send a text message to inform this office of a need to reschedule or cancel, or if you anticipate being late for an appointment. All messages left via email, text, and telephone voicemail are time and date stamped. This cancellation, late arrival, and no show policy is strictly enforced in order to accommodate other patients who are on the waiting list and in need of treatment, and to provide all patients with complete care and care that is provided in a timely manner. You will not be charged for cancellations or rescheduled appointments when a minimum of one business days’ notice has been provided. You will be charged full fee for cancellations with less than one business days’ notice and for missed appointments. Exceptions to this policy will be made only in extreme circumstances beyond your control. Missed appointments are a waste of valuable care. You may be asked to reschedule an appointment if you arrive more than 15 minutes after your scheduled appointment time. You may experience a delay in progress toward your treatment goals as a result of missed visits. You may be discharged from services if you cancel or miss two appointments in a row, and if you are readmitted for care you may be charged the full initial appointment fee.

Telephone Policy

We strive to return all phone calls before the end of each business day. In order to accomplish this, we must limit our callbacks to five minutes. If your concerns cannot be addressed in that time frame, an office or telemedicine visit may be scheduled in order to best meet your needs.

Are you waitlisted for an earlier appointment?

Patients who have completed and submitted the paperwork and who are waitlisted for an earlier appointment will be given priority for earlier appointments that become available. Completing and submitting your paperwork ahead of time is evidence of investment in your own health and serves you best by allowing us adequate time for thorough review before your visit. Please enroll in or access your secure patient portal below and submit your forms as soon as you can, and no later than 24 hours before your appointment. We look forward to seeing you soon!
